Registration & Participation Policy

These terms govern exhibitor registration, booth allocation and participation at CRAFTXIBITION 2026.

Organiser: The Sophie’s Choice Sdn. Bhd. (trading as “The Friendship Diplomacy – TeeFDee”) (“Organiser”)

Event: CRAFTXIBITION – Craft Exibition (Conventional crafts & Modern crafts) 2026 (“Event”).

By submitting a registration form, making payment, or participating as an exhibitor at craftxibition 2026, you agree to be bound by this Registration & Participation Policy (“Policy”) and the Exhibitor EULA.

1. Eligibility & Application

CRAFTXIBITION 2026 is a professional trade and showcase event focused on pro-audio, visual, lighting, staging, music instruments and related technologies. The Organiser may accept or reject any exhibitor application at its discretion, including where products are not aligned with the event theme or space is limited.

2. Booth Allocation

Booth types, sizes and entitlements are described in the exhibitor prospectus or fee schedule. Exhibitors may indicate their preferred location, but final booth allocation is decided by the Organiser based on booking date, payment status, event layout and category mix. The Organiser may adjust or relocate booths if required for safety, operations or venue reasons.

3. Fees & Payments

All exhibition fees, surcharges and taxes (“Fees”) are stated in official quotes and invoices issued by the Organiser. Unless otherwise agreed in writing:

  • a non-refundable deposit may be required upon acceptance of the application; and
  • full payment must be received by the deadline stated on the invoice.

Participation and booth rights are only confirmed when all Fees are paid in full. The Organiser reserves the right to release or reallocate a booth if payment is late.

4. Cancellation & No-Show

Any exhibitor cancellation or withdrawal must be submitted in writing to the Organiser. Unless a separate written agreement applies, refunds (if any) and cut-off dates will follow the refund structure communicated in the official exhibitor prospectus or invoice. Late cancellations may receive no refund.

If an Exhibitor fails to occupy its booth during the official move-in period without prior written notice, this may be treated as a no-show and the Organiser may reallocate the space with no refund.

5. Postponement or Event Changes

The Organiser may adjust event dates, times, venue, floorplan or format (including adding hybrid or virtual elements) where reasonably necessary. In cases of postponement, cancellation or major changes due to circumstances beyond the Organiser’s control (e.g. government restrictions, pandemics, natural disasters), any credits or refunds will be handled according to a separate notice or policy issued at that time.

6. Exhibitor Responsibilities

Exhibitors are responsible for:

  • complying with all laws of Malaysia and all rules of the venue and Organiser;
  • ensuring their booth, equipment and displays are safe and secure;
  • handling all logistics, shipping, customs and insurance for their own goods;
  • obtaining the necessary licences and permissions for any music, content or technology used;
  • supervising their staff, contractors and agents at all times.

The Organiser may require an Exhibitor to modify or remove any display or activity that is unsafe, disruptive, offensive, or inconsistent with the professional character of the Event.

7. Build-Up, Dismantling & Operating Hours

Move-in, build-up, dismantling and show hours will be stated in the Exhibitor Manual or technical guidelines. Exhibitors must follow these schedules and may not begin dismantling before the official closing time without written approval.

Booths should be staffed and presentable during official opening hours.

8. Insurance & Risk

Exhibitors are strongly advised (and may be required) to arrange their own insurance, including public liability, property damage, theft, and employer’s liability or workers’ compensation.

The Organiser and venue are not responsible for any loss of or damage to exhibitor property, nor for any injury, except where directly caused by proven negligence under applicable law.

9. Intellectual Property & Prohibited Goods

Exhibitors must ensure that all products, branding and media they display or distribute comply with intellectual property and content laws. Counterfeit or unauthorised products are strictly prohibited. The Organiser may remove such items and may terminate participation without refund in serious cases.

10. Health, Safety & Security Rules

Exhibitors must comply with any health, safety and security rules issued by authorities, the venue and the Organiser, including screening procedures or public health guidelines. The Organiser and venue may implement security checks at any time.

11a. Breach & Termination

If an Exhibitor breaches this Policy or other event rules, the Organiser may, at its discretion:

  • issue a warning;
  • require modification or removal of specific items or activities;
  • close the booth and terminate participation; and/or
  • retain Fees already paid.

11b. Limitation of Liability

To the maximum extent permitted by law, the Organiser’s total aggregate liability to an Exhibitor in connection with CRAFTXIBITION 2026 is limited to the total exhibition Fees actually paid by that Exhibitor. The Organiser is not liable for indirect or consequential losses (including loss of profit, business or opportunity).

12. Governing Law

This Policy is governed by the laws of Malaysia. Any disputes will be subject to the exclusive jurisdiction of the Malaysian courts.
